# Dispute Admin: Groups, Reasons, and Templates

### **Overview**

This article will cover the setup and configuration of dispute reason 0.groups, dispute reasons, and communication templates. **Please note:** This access is limited based on your user permissions. You must have the Tenant Admin permissions in order to access. If you need to request this specific access please [submit a support ticket](https://hs.navix.io/customer-support-center/kb-tickets/new?hsLang=en). 

Below is an overview of the definitions of each category: 

| Dispute Groups | A dispute reason group can be created then assigned to dispute reasons, to set a rule whether or not an email can be created for a dispute reason. |
| --- | --- |
| Dispute Reasons | Dispute Reasons are setup to facilitate standard reasons a user can select when creating a dispute. |
| Communication Templates | Communication Templates are created to allow a user to select a pre-defined email template for disputes. |

### **Set up Dispute Reason Groups**

Dispute Reason Groups can be created when a tenant is set up with Dispute Version 2. A dispute reason group can be created then assigned to dispute reasons, to set a rule whether or not an email can be created for a dispute reason. This is needed when a tenant wants to only communicate with an external system for certain dispute reasons (via our Disputes and Communication endpoints).

To set up a Dispute Reason Group: 

Navigate to Tenant Admin on your left hand menu \> Select Disputes \> Select Dispute Reason Groups (shown below).

Select the **+New Dispute Reason Groups** in the upper right hand corner as shown below.

The Setup Screen will include: 

| Name | Put your cursor in the blank section under Name and give your reason group a name. |
| --- | --- |
| Allow Email | The Checkbox should be checked if you want to allow emails to be sent from Navix for this group. The Checkbox should be unchecked if you do not want to emails to be sent for this group. |
| Allow Notify and Approve | This setting in the Reason Groups setup will define if the group used will allow the option to Notify and Approve.  *To learn more about this use this link: [**Notify and Approve**](https://hs.navix.io/customer-support-center/disputes-notify-and-approve?hsLang=en)* |

### **Set Up Dispute Reasons**

Dispute Reasons are setup to facilitate standard reasons a user can select when creating a dispute. Dispute Reasons are set up by Party type and one or many dispute reasons, for same party type, can be selected when users create disputes.

Dispute reasons can be assigned to a Dispute Reason Group, that restricts the user on being able to only select dispute reasons within same group when adding multiple reasons on a dispute. A group can also be created to determine if the dispute reasons should be handled over email communication or only via API communications.

To set up a dispute reason go to left hand menu under Tenant Admin\> Select Disputes \> Select Dispute Reasons (shown below) and select +New Dispute Reason.

**Party**: Select between Tenant, Vendor, Customer. Tenant will be used for internal communications. 

**Dispute Reason**: Click in the Dispute Reason field and type the dispute reason. 

**Group**: Select the dispute reason group you want this dispute reason associated with. 

**Allow Notify and Approve?**: This option will be available if the Notify and Approve is enabled for the specific dispute reason group you selected. 

Make sure to Save and you will be able to see the list of your existing reasons. 

If you need to make edits after you save, click the pencil as shown in the screenshot below.

**Note:** Editing a name will update the options shown in the Dispute Reason filters, so the old name will no longer be available for selection. There is a warning when you click the edit pencil as a reminder. 

### **Set Up Communication Templates**

Communication Templates are used as the pre-defined email you want to send for the dispute.

**Note: Communication templates are not tied to one Dispute Reason**, a dispute created may have several dispute reasons associated to it, so the application enables users to use an initial template when creating the dispute, and a resolution template when responding to communications on a dispute.

To create a new communication template navigate on the left hand menu to Tenant Admin \> Disputes \> Select Communicate Templates . Select +Add New Template. This will generate a blank template at the bottom of the screen (as shown below).

Fill out the template with the fields below: 

**Party:** Required Field. This will be used to show Templates based on Party set on Dispute.

**Type:** Required field set to either Initial, Follow Up, or Resolution. The type selected impacts which template is shown to the user.    
    Initial: messaging that will be used when a dispute is created   
    Resolution: messaging for a standardize on a response to a resolved dispute  
    Follow Up: messaging you will use to follow up with a previously created dispute

**Template Name:** Required field. The name is visible in dropdowns when user is creating a dispute or replying to a communication of a dispute in the application.

**Subject:** Required field. This is the template email subject, which can include variables that enable a template to use invoice data.

**Best Practice : Include a variable in subject so emails are not flagged as spam

**Message:**  This has simple formatting and can leverage the variables within the content.

 

Click Save to save the template.

To edit an existing communication template select the template from the list. It will have a grey background once selected. The existing template will populate below and you can make your edits and then Save.
