What are business rules and how to manage them

What are Business Rules?

  • In the Navix app, Business Rules are specific requirements for each Customer, Vendor, Location, Charge Code, etc. that trigger an exception - whether charges match or not. A Business Rule can flag an invoice for manual checks prior to approval, OR they can automate aspects of an invoice, or full invoices.
  • Examples of a business rule are
    • Auto-approve all invoices from Oak Harbor Freight
    • Flag RL invoices for 3 months during onboarding
    • Auto-add Lift Gate for Customer XYZ
    • Missing bill to for Vendor Invoice
    • Reject if < 4 Service Charges Shown
    • Vendor Base Rate not within Tolerance (+/-$25)
    • Vendor invoice over $10,000; manual approval required
    • Missing Delivery Receipt
    • Etc.
  • At this time, business rules must be deactivated, activated, changed, or customized by a Navix team member.

How can a Business Rule be customized, changed, added or deactivated?
  • Business Rules can be viewed within the Reports dashboard in the Navix app. Here, you can see the details of each Business Rule and when you scroll to the right, there are columns that show whether the rule is Active and Blocking.
  • If a rule needs to be deactivated, activated, customized or changed, a request must be made by submitting a Support Ticket.

What are Exceptions?

  • Exceptions are things that need to be corrected in order to approve an invoice, per tenant business rules. In other words, Business Rules trigger a flag (exception) when something needs to be manually checked on an invoice.
  • Examples of an Exception are:
    • Order # is missing
    • Vendor is missing
    • Vendor Base Rate is not within Order Base Rate Tolerance. (+/- $0)
    • Missing document type - Bill of Lading for at least one stop
    • Etc.
